Tell the customer what is changing
Before transferring, explain why another responder can help and what information will move with the conversation. Avoid promising an immediate specialist response unless that person is actually available. A customer should not have to guess whether the chat has ended or merely changed hands. If nobody can take it, offer an owned follow-up instead of repeatedly moving the conversation between queues and making the visitor restate the same problem.
Understand the documented destination behaviour
LiveChat describes transfers to an agent or group. Its guidance distinguishes a group’s first available recipient from selecting a particular person in another group. Check the current controls and availability in your account. That distinction matters when only one specialist can authorise an exception. Routing toward a group is not proof that the right person has accepted the case, so the operating rule must include confirmation of ownership.
Use a concise context note
State the question, verified facts, actions already attempted, last customer promise and specific decision needed. Label assumptions as assumptions. Do not add private details unrelated to the answer or paste payment credentials into the note. For a fictional acceptance test, ask the receiving person to describe the next action without contacting the first responder. If they cannot, the handoff is incomplete even if the interface reports a successful transfer.
Plan the failed-transfer path
Test a recipient becoming unavailable and a customer leaving during the handoff. Decide who reviews the unresolved item and what the follow-up expectation becomes. Keep the original conversation identity where the supported tool permits it; do not create duplicate records simply to make the queue look clear. Review failed transfers separately from ordinary chat duration. Their value lies in exposing gaps in responsibility, not in producing another attractive service statistic.
